About the role:

We have an exciting opportunity to join us as the pivotal face of Jisc in our Bristol office. As a Facilities Assistant you will provide a high quality support service in terms of front of house and back office functions, that support the operation and governance aspects of Jisc’s Property portfolio. We manage the properties to support Jisc’s business activities.

 

You will be working full time from our Bristol office, however you will be required to cover on occasion for absence at any of our main hubs (London, Manchester and Milton Park - Oxfordshire).

 

Core office hours are between 08.30am and 17.30pm. The Facilities Team in each office must dress appropriately for the greeting and support of external clients and visitors, and co-ordinate their working hours to ensure that visitor reception and meeting rooms are covered between the hours of 8.30am – 4.30pm Monday to Friday.

 

Responsibilities will include:

  • Front of House to include providing reception duties and facilities and administrative support for staff and visitors, to include taxi bookings, travel support, stationery requests, post and deliveries, facilities tasks and meeting room support. 
  • Maintain a reception service for all visitors and meetings, ensuring meeting rooms, communal staff areas and offices used for meetings are laid out according to meeting requests and are fit for purpose at all times.  The post holder will be required to move furniture and lift and carry chairs for the majority of meetings.
  • Support the delivery of the full range of office facilities services required to operate effectively, making all new starters aware of alarms and security, to include inductions, associated paperwork and online updates.
  • Assist the Manager in the operation of contracts across offices, including photocopier, utilities, recycling/confidential waste, telephone services (including mobile telephony) cleaning and take lead in contracts
  • To deal with all incoming and outgoing post, ensuring its delivery to the appropriate recipients or its despatch to its intended recipient in a timely manner.

 

Key Skills and Experience:

  • Demonstrable track record of success delivering administrative support in a small team and a first class reception service.
  • Proficient MS office skills to enable correspondence to be actioned on behalf of the team, simple databases to be developed and more complex databases to be maintained. Able to use spreadsheets confidently and effectively.
  • Well organised and uses initiative to manage and prioritise own workload and manage own time to ensure that competing deadlines are met and completed tasks are delivered to the required specification.
  • Effective communication skills, enabling confident communication with colleagues when acting as the first point of contact for the team.
  • Ability to handle issues in a courteous, efficient and effective manner, maintaining a professional approach at all times, regardless of circumstance.
