Purpose of the Role

 

Provide quality HR processing support by attending to and processing colleagues’ requests as assigned accurately and in a timely manner, resolving issues and enquiries, and escalating operational issues to the relevant parties for resolution.

 

Performs HR operational tasks that include personnel data administration, organization data maintenance, claims verification and attendance data administration.

 

Accomplishes special project results by identifying opportunities for continuous improvement and delivering value added services to the organization.

 

Coach team members on issues, solutions, communications, planning and case management.

 

 

Key Responsibilities 

  • Management of our HR ticketing systems by responding / attending to the request in line with the agreed SLAs.
  • Process enquiries and requests by applying our HR standard operating procedures in compliance with country rules.
  • Process in-scope transactional tasks with regards to employee data maintenance, hierarchy position maintenance, attendance data maintenance, claims and vendor invoice verification.
  • Maintain effective document management for employee documents / records in an accurate and organized manner in line with local data protection legislation.
  • Collaborate with Pay & Rewards team on employee movements relating to but not limited to:  benefit updates or changes, payroll processes, compensation cycles.
  • Support Pay & Rewards team on HR audits aiming to keep integrity and accuracy
  • Verify and resolve discrepancies by collecting and analyzing employee information and confirm discrepancies with Team Lead and/or HRBPs/HR Advisors.
  • Alert and escalate unresolved operational issues or discrepancies to Team Leads for actions and resolutions in timely manner, to ensure data discrepancies are rectified immediately.
  • Work in collaboration with other team members to establish and maintain a confidential and sensitive work environment, focusing on customer service by handling all colleagues’ requests in a professional manner.
  • Maintain high standard service mindset and good relationship with stakeholders to ensure high quality HRA services are provided consistently.
  • Contribute to the operational process improvement activity by providing support to the Team Lead in any continuous improvement initiatives including system and functional testing work.
  • Actively participate in internal training, knowledge sharing sessions, workshops and discussions amongst team members.
  • Reviews records for completeness, admissibility or eligibility in accordance with regulations.
  • Contributes to team effort by accomplishing related results as needed
  • To contribute towards the successful implementation and completion of identified projects in a lead or supporting role.
  • To assist with the monitoring of effectiveness of systems, processes and policies used within the team to ensure that appropriate legislation is being complied with.
  • To ensure that confidentiality and data protection requirements are maintained and adhered to.
  • Where necessary, to provide back up support to other team member as and when necessary, based on business needs.
  • To ensure transactions are processed according to the relevant Standing Operating Procedures and Work Instructions.
  • Support the HR team with any adhoc projects (if any).

 

SKILLS & EXPERIENCE

  • Minimum of 3 years of HR working experience preferably in shared service or outsourcing environment
  • Familiar working with Dayforce or any other HRMS system
  • Good customer-service skills with an ability to handle multiple transactions and requests.
  • Preferably with experience processing outsourced HR for different countries.
  • Experience working in large, diverse teams.
  • Flexible approach to work, with the ability to challenge the status quo.
  • Highly meticulous
