PURPOSE OF JOB:

We are looking for an experienced and detail-oriented Supply Chain Coordinator to manage a variety of vendor relationships, compliance, and performance across multiple channels. The ideal candidate will have experience in vendor management, supply chain operations, and a strong understanding of the rebate, fulfilment, and escalation processes. This role will focus on centralised rebates, unmanaged vendors & suppliers, channel programs, and overall supply chain performance management.

KEY RESPONSIBILITIES:

Centralised Rebates:

  • Oversee the management, claiming and processing of centralised rebates to ensure all rebate programs are documented to compliance standards.
  • Maintain strong working relationships with vendors and suppliers, including those managed through VBMs to have effective escalation routes.
  • Monitor the channel programs to identify and present back to management suggestions for improved margins.

Unmanaged Vendor & Supplier Management:

  • Manage and improve the relationship with unmanaged vendors and suppliers, ensuring seamless onboarding and smooth supply chain processes.
  • Act as a primary point of contact for supply chain related issues
  • Manage escalations related to vendor performance, including issues with quotes, fulfilment, and stock discrepancies.
  • Proactively manage the channel programs the top unmanaged vendors, ensuring their integration into the system aligns with company goals and performance targets.
  • Deal Registrations: Qualify the opportunity for deal registration within unmanaged vendors and document the process for sales support to act upon in accordance with company policies and guidelines.
  • Monitor and resolve any arising sub-distribution, ensuring smooth communication and updates across supply chain channels.

Quote & Fulfilment Issues:

  • Address and resolve quote issues, including but not limited to; expired or incorrect quotes queries, price discrepancies, Forex disputes, margin sanitisation, incorrect or miss placed Pos at distribution.
  • Monitor and resolve fulfilment issues, ensuring product availability and timely deliveries.
  • Handle SLA management related to quotes, ensuring timely and accurate response times.

Performance & Compliance Monitoring:

  • Proactively monitor vendor performance, ensuring compliance with agreed-upon SLAs, rebates, and margin improvements.
  • Manage and track vendor-specific escalations related to fulfilment, product pricing, and operational inefficiencies.
  • Ensure proper documentation of vendor and supplier interactions, including escalations, invoicing, and dispute resolution for the annual and bi-annual Supplier audits.

Onboarding & Program Setup:

  • Manage the supplier onboarding process, including new buying program setups, escalations, and invoice queries.
  • Work closely with cross-functional teams to ensure the smooth integration of new suppliers into the supply chain. Ensuring any highlighted terms within new supplier setups are implemented through the quoting tools.
  • Review and optimise onboarding enhancements and escalate issues to relevant departments as required.

General Responsibilities:

  • Handle escalations related to quotes, distribution issues, and vendor challenges to ensure a timely resolution.
  • Monitor and ensure accuracy of the unmanaged vendor and supplier portal pages – including accurate auto-renewal and cancellation periods.
  • Support and assist with inventory management and supply chain logistics to improve vendor fulfilment.
  • Collaborate with cross-functional teams, including Sales, Finance, and Logistics, to ensure the smooth flow of goods and services.
  • Contribute to the development of strategic supply chain initiatives and process improvements to optimise vendor and supplier interactions.
  • Process Optimization: Continuously evaluate and suggest improvements of our processes, systems and procedures to increase efficiency, reduce waste, cost, and enhance margins and customer experience.

 

QUALIFICATIONS, EXPERIENCE, & SKILLS:

Experience:

  • At least 2 years of experience in IT channel, working with channel programs, rebates, vendor management, and/or supplier onboarding is preferred.

  • A strong understanding of supply chain processes, including fulfilment, pricing, quoting, and compliance monitoring.
