The techoraco operations team is responsible for the operational delivery of over 20 annual telecoms and technology events and exhibitions, across North America, South America, Europe, Africa and Asia. Our events range from intimate leadership gatherings of 300 attendees to our flagship events of 5000+ attendees.
THE ROLE
We are seeking an experienced and dynamic B2B Event Operations Manager with a minimum of 3 years of experience working in a commercial environment, managing both large scale exhibitions and conferences globally, with a proven track record of successful event delivery. The successful candidate will play a crucial role in planning, operating, and executing high-quality B2B events, ensuring the achievement of desired profit margins and high levels of custsomer satisfaction. This multifaceted role involves organizing conferences, exhibitions, workshops, and networking receptions, globally.
The role may require occasional evening and weekend work, depending on event schedules, and must be able to travel internationally as required. Main responsibilities include:
Event Management and Execution:
- End-to-end operational management of allocated events and exhibitions, collaborating closely with relevant stakeholders. You will take the lead in the delivery of some events and deliver a project within an event at some others.
- Develop, and maintain, comprehensive event plans, timelines, and budgets in collaboration with the Head of Operations.
- Engage in the process of venue sourcing, selection, contract negotiation, and date coordination for events, as well as managing supplier relationships.
- Manage logistical aspects of the events such as planning, venue management, build, safety, security, catering, staffing, signage, accommodation, website update, event app management, AV and production and risk management.
- Act as the operational lead on-site, liaising with the venue and co-ordinating with the wider project team to ensure the smooth running of the event
- Prepare post-event reports, highlighting successes, challenges, and areas for improvement.
Budget & Profit Margin Management:
- Preparation and maintenance of realistic forecasts and budgets, including raising and processing of purchase orders and invoices to ensure accurate and timely payments
- Provide regular financial reports and post-event budget reconciliation to the Head of Operations and Operations Director.
- Developing creative solutions for new revenue streams and maximizing profitability sustainability, and quality of each project through effective procurement
Sponsorship and Stakeholder management:
- Overseeing sponsor fulfilment, ensuring contractual obligations are met.
- Compile relevant information for clients to include, but not limited to, clear instructions on submitting required materials, access times on the day of the event, and venue selection.
- Collaborate closely with project internal stakeholders (Marketing, sales, customer service, content, finance, legal teams) to fulfil the project requirements
DESIRABLE
- Foreign language
- Strong affinity with digital systems and platforms, Cvent, MS Office suite, registration platforms
- First Aid qualified/IOSH Managing Safety Certificate
